A new software tool was being launched company wide for the purchase of vehicle parts and office supplies. Since this was a brand new software tool, extensive training was needed to ensure all employees with access to the program would know how to access and use its features effectively.

Focus

Ensuring accuracy when placing orders for vehicle parts, office supplies, and shop supplies.

Recommended Solution

A detailed e-learning course with narrated videos and software simulations.

Product

An interactive e-learning course that not only provided information, but real-life practice with the use of the software simulations. The simulations would include the most common situations employees would encounter when placing, receiving, and confirming orders, as well as cross-checkin the inventory management system to ensure order accuracy.

Facilities reported that employees expressed difficulty in recognizing defects and misapplying the company standards. This led to incorrect routing, delays, unnecessary reworks, and slowed production.

Focus

A defined understanding of the job role, how to recognize defects on various surfaces, and which repairs to recommend in specific scenarios.

Recommended Solution

A detailed e-learning course with narrated videos, knowledge checks, and a final assessment. Videos would emphasize how to understand and apply the company standards in a variety of scenarios. The knowledge checks and assessment would reinforce the standards and highlight the learning objective.

Collaboration

In tandem with the media producers, scripts were written, and videos were recorded, narrated and edited. The videos were then embedded into the e-learning course. The e-learning course reinforced the video content, ensuring the learners retained the critical tasks associated with the learning objectives.

Needs Assessment

A new adjudication system was being implemented, and agencies reported that employees had difficulty navigating the system. Several modules within the system were interrelated, and employees expressed confusion as to which selections to make based on the determination made by an adjudicator.

Focus

A detailed overview of the system's interface, how to mark determinations in the system, as well as how selected determinations "branch" into a specific direction for the customer.

Recommended Solution

An e-learning course with six narrated videos, knowledge checks, and a final assessment. The videos would outline logging in, an overview of the interface, and the five primary determinations adjudicators would make. Five of the videos would explain each determination individually, and which options to choose in the system in order to follow the "path" of finalizing each determination.

Product

An important goal was to differentiate between the five determinations an adjudicator would make, and how to use the system to record those determinations. The visual cues used were designed to:

  1. Outline each topic;

  2. Play each video as that specific topic was highlighted at the top of the screen;

  3. Show the learner their progress through the course as each topic was being covered; and

  4. Provide a review to aid in retention.

Needs Assessment

This week-long instructor-led course provided detailed information for employees on how to assist members of the public to obtain employment. There were several rules employees needed to follow before and while developing a personalized plan for the target audience. There were several very specific policies and procedures employees were required to adhere to when developing a plan, and employees reported difficulty with understanding how to apply the policies. The existing methodology did not include any gamification elements, nor was there a reward system for performance. The nature of the course material provided several challenges with regard to engagement.

Focus

Since this was a week-long course with lots of information, the focus of the course review was to highlight only the major aspects of the course:

  • Legal requirements

  • Plan development

  • Plan approval

  • Plan implementation

  • Plan management

  • Terminology

Recommended Solution

A fun, engaging game that fosters competition and rewards decision-making and retention.

Product

​While Jeopardy! may be a "go to" solution for instructor-led course reviews, the familiarity with the rules and format of the game as well as the nature of the course material made this an ideal solution. Learners were given six categories to choose from (outlined in the Focus section above). The instructor then led the game to assist the employees in retaining the information covered throughout the week.
